Quick Cancellation Fee Schedule

The following applies to standard group departures. Custom/private departures may have different rules stated on the invoice.

Note: Once issued, permits, insurance, and third-party reservations are usually non-refundable. Such costs are excluded from refunds above.

If You Cancel

  • Notice: Email info@terranovaexped.com from your registered address with booking ID.
  • Deposit: A minimum 10% of the trip fee (or actual non-recoverable costs) is non-refundable after confirmation.
  • Reschedule once for free when requested 15+ days before start, subject to availability and seasonal pricing.
  • Within 7–14 days, reschedule with a change fee of ₹2,000 or 10% (whichever is higher). <7 days: reschedule not available.
  • Credits (if offered) are valid for 12 months from issue and are transferable once on request.

If We Postpone or Cancel (Weather / Safety / Logistics)

  • We may adjust the itinerary, shift summit days, or move to a comparable route/camp for safety.
  • If a departure is cancelled before start, choose: 100% credit to a future date or a full refund of the trip fee paid.
  • We are not liable for indirect costs (flights, hotels, visas, leaves). Buy flexible fares/travel insurance where possible.
Mountains are dynamic. Weather and local regulations can force changes even after start; unused services after trip commencement are generally non-refundable.

No-Show, Late Arrival, or Early Exit

  • No-Show / <24h late: treated as cancellation within 0–6 days — no refund.
  • Early exit / medical evacuation: extra transport, stay, and evacuation charges are payable by the participant. Unused services are non-refundable once the trip has started.

Non-Refundable Components

  • Government permits/fees once applied or issued.
  • Insurance premiums.
  • 3rd-party arrangements (flights, hotels, porters, mules) not booked by us or booked as non-refundable.
  • Bank/UPI/PG gateway charges and currency conversion spreads.

Refund Method & Timelines

  • Refunds are processed to the original payment method within 7–10 business days after approval.
  • International refunds depend on your bank/card cycles (allow 5–15 additional days).
  • Gateway/FX fees and non-recoverable costs (see above) are deducted where applicable.

Special Cases

Private/Custom Departures

Custom trips may carry stricter terms based on the route, permits, and logistics. The signed proposal/invoice prevails over this page where different.

Minimum Team Size

If a batch does not meet minimum size, we may offer to run the trip with revised inclusions, move you to a nearby date, or issue a full refund/credit.
